We are currently looking for a dedicated and detail-oriented Project Coordinator to work alongside our Project Manager and the rest of the management team, in overseeing European funded projects and other initiatives. As a Project Coordinator, you will be responsible for assisting in the planning, organization, and execution of projects. You will play a critical role in ensuring that project activities are effectively coordinated and aligned with project objectives. The person will handle the administrative tasks and details that allow the project to move forward.

Tasks may include:

1) assisting with the development of project plans.

2) scheduling meetings and coordinating with team members.

3) Tracking project progress and updating project management tools.

4) Managing project documentation.

5) Assisting with communication between team members and stakeholders.

Support Project Planning: Assist the Project Manager in developing and implementing project plans, including timelines, scope, objectives, and deliverables.

Support Academic Research: Collaborate with the Project Manager and academic partners in creating and developing research, methodologies, and frameworks that support project objectives. Assist in literature reviews, data collection, and analysis as needed.

Coordinate Project Activities: Work with various stakeholders, including partner organizations and academic institutions, to ensure effective collaboration and communication.

Budget Monitoring: Assist in tracking expenditures and ensuring compliance with funding guidelines and financial reporting requirements.

Participant Management: Coordinate recruitment, selection, and onboarding processes for project participants.

Risk Mitigation: Identify potential risks and assist the Project Manager in implementing mitigation strategies.

Documentation and Reporting: Maintain and manage project documentation, prepare progress reports, and submit required documentation to funding bodies.

Communication Facilitation: Facilitate communication among project teams, ensuring effective teamwork and knowledge sharing.

Compliance Monitoring: Stay updated on European funding program guidelines and ensure alignment with relevant regulations.

Educational Background: Bachelor’s degree in a related field (e.g., project management, international relations, education).

Project Coordination Experience: Prior experience in project coordination or a similar role is preferred.

Experience in Research and Development: Experience or strong interest in academic research, methodology design, and framework development is essential.

Understanding of Erasmus+ Guidelines: Familiarity with Erasmus+ program guidelines, funding rules, and reporting requirements is an advantage (desirable).

Financial Monitoring Skills: Basic knowledge of budget planning, monitoring, and reporting.

Stakeholder Engagement Abilities: Strong communication skills and experience working with diverse teams and partners.

Tech-Savvy: Familiarity with project management tools and software.

Cultural Sensitivity: Experience in working with individuals from different countries and backgrounds.

Organizational Skills: Exceptional organizational and time management skills (essential).

Language Proficiency: Fluent in English and Swedish proficiency (desirable) (additional languages are a plus).

  • This role is based in Stockholm while occasionally traveling to connect with our global network and projects. 
  • Full-time with a flexible working schedule.
  • Salary is 27,000 SEK per month, 25 days of paid time off annually and local public holidays
  • Monthly SL travel costs and wellness allowance 
  • Contract length: undetermined period contract; 6 months probationary period.
  • Allowances and other contributions: full coverage of costs to attend requested internal/external workshops, conferences, and events; access to all company systems for work and communication.
